Free Samples Monitoring
A Google Sheets system that tracks free-sample requests from content creators — from application and approval to dispatch, shipping cost and content follow-up.

Overview
Free Samples Monitoring runs a product-sampling program inside one Google Sheets workbook. Requests come in through input forms, are reviewed and given a status, and roll up into a dashboard that shows approvals per shop and platform.
Separate tabs track dispatch per product, shipping expense, community requests and creators whose promotional content is still pending — so the team can follow up instead of searching.
Business purpose
A sampling program involves many small records across two marketplaces. Without a system, it is hard to know who was approved, what was shipped, what it cost and who still owes content.
My role
- I built the workbook’s forms, dashboards and tracking tabs.
Technical implementation
- Input forms with a SAVE action that writes entries to a history log and database tabs.
- Dropdown-validated statuses (e.g. approved, rejected, withdrawn, unsearchable, item unavailable).
- Protected database tabs per platform (TikTok and Shopee).
- Dashboard date range and search by username, platform, status and shop.
- Google Sheets
- Google Apps Script
Built in Google Sheets during my Apps Script role at Synovatic Inc.
