This Privacy Policy explains how personal information is collected, used and protected when you visit this personal portfolio website or contact me through it.

01Who I am

This website is the personal professional portfolio of John Kenedy Alarcos (Ken Alarcos), who owns and operates it as an individual. In this policy, “I”, “me” and “my” refer to me as the portfolio owner, and I am responsible for the personal information described here.

I am also a co-founder of ArkLinc, a professional services firm. ArkLinc appears on this site as part of my professional background; it does not own or operate this portfolio.

02Information I collect

Information you choose to send me

When you submit the contact form, I receive:

  • Your full name.
  • Your email address.
  • Your company name.
  • The service or inquiry category you select.
  • Your project details and message.
  • Any files you upload, including everything they contain.

Please share only what is needed for your inquiry, and avoid sending sensitive personal information (for example health, financial account or government ID details) unless it is necessary.

Technical information

  • To limit spam and abuse, the server uses your IP address to count recent submissions. This count is kept in the server’s memory for up to 10 minutes and is not written to a database.
  • The form also records when the page was opened, to detect automated submissions, and includes a hidden field that only bots fill in. These are used only for spam protection.
  • If an inquiry cannot be delivered, the server records a short technical error message (for example, that the mail server could not be reached). These messages do not include the content of your inquiry.
  • Like any website, this site is served by a hosting provider, which may record standard technical request information (such as IP address, date and time, and the page requested) under its own policies.

Analytics (only with your consent)

If you accept analytics cookies in the cookie banner, Google Analytics (loaded through Google Tag Manager) collects usage information such as the pages you visit, how far you scroll, your approximate location (derived from your IP address), your device and browser type, and how you arrived at the site. If you do not accept, Google Tag Manager and Google Analytics are not loaded at all.

This website does not use advertising tags and does not sell or build advertising profiles from your information.

03How I use your information

I use the information you submit to:

  • Respond to your inquiry.
  • Evaluate employment, consulting, collaboration and project opportunities.
  • Understand a prospective client’s requirements.
  • Review the project documents you upload.
  • Communicate with you about potential engagements.
  • Coordinate relevant professional resources where necessary to respond to or deliver a requested engagement.
  • Keep the website secure and prevent spam or abuse.
  • If you consent to analytics: understand how visitors use the site so I can improve its content and usability.

I do not sell your personal information, use it for advertising, or add you to a marketing list.

04Contact form and email delivery

When you submit the contact form, the website’s server checks your entries and sends them to me as an email through Google Workspace’s mail service (SMTP). The email is sent from a Google Workspace account I administer and delivered to my private inbox. Your message, your contact details and any attachments therefore pass through, and are stored in, Google’s email infrastructure.

The connection between the website’s server and Google’s mail server is encrypted (TLS is required before any message is sent). Your email address is set as the reply-to address so that I can respond to you directly; the email is never sent “from” your address.

The email account credentials are kept on the server only and are never sent to your browser or published on this website.

05Uploaded files

The contact form lets you attach up to 5 files, each up to 10 MB and up to 16 MB combined. Accepted formats are PDF, Word, Excel, PowerPoint, JPG, PNG, WEBP or ZIP (PDF, DOC/DOCX, XLS/XLSX, PPT/PPTX, JPG/JPEG, PNG, WEBP and ZIP).

When you submit the form:

  • The server checks each file’s type, size and actual content. Programs, scripts, macro-enabled Office files and ZIP files containing them are refused; if any file is refused, nothing is sent.
  • Accepted files are saved briefly to a private temporary folder on the server under random names. They are never published or made available at a public web address.
  • The files are attached to the inquiry email sent to me, keeping their original names where safe.
  • The temporary copies are deleted as soon as the request finishes, whether delivery succeeds or fails. Any copy left behind by an unexpected interruption is removed automatically after about one hour.

After delivery, your files exist as attachments to the email in my inbox (see “How long I keep information”).

06Who can access your information

  • Me. I read and manage the inquiries I receive.
  • Authorized collaborators. Where it is relevant to responding to your inquiry or delivering an engagement you request, I may share the necessary details with professional collaborators or team members who work with me on that engagement. They may use the information only for that purpose.
  • Google. Google provides the email service used to deliver and store inquiries (Google Workspace / Gmail), the web fonts used on this site (Google Fonts) and — only if you consent — website analytics (Google Analytics and Google Tag Manager). Google processes this information under its own terms and privacy policy.
  • Website hosting provider. The provider that hosts this website processes technical request information to serve the site.
  • Legal requirements. I may disclose information if required by law or to protect my rights, your safety or the safety of others.

I do not sell or rent personal information to anyone.

07International processing

I am based in the Philippines, and the service providers above may process information in other countries. By contacting me you understand that your information may be transferred to and processed in countries other than your own, which may have different data-protection rules.

08How long I keep information

  • The website itself does not keep a database of inquiries. Uploaded files are deleted from the server as described above, and the spam-protection count of recent submissions expires within 10 minutes.
  • If you consent to analytics, Google Analytics keeps usage data according to the retention period set in the site’s Google Analytics account. Your cookie choice is stored in your own browser and is asked again after 12 months.
  • Inquiry emails and their attachments are kept in my inbox for as long as reasonably necessary to respond to you, evaluate the opportunity and manage any resulting engagement, and for legitimate record-keeping.
  • You can ask me to delete your inquiry at any time (see “Your privacy rights”), subject to any information I am required or entitled to keep.

09How I protect information

The website uses practical safeguards, including:

  • Encrypted delivery between the website’s server and the email service.
  • Server-side validation of every form field and uploaded file.
  • Private, short-lived temporary storage for uploads, with random file names.
  • Rate limiting, request-size limits and spam protection on the contact form.
  • Email credentials and configuration kept on the server only.

No website or email system is completely secure, so I cannot guarantee absolute security. Please avoid sending information you consider highly sensitive through the form.

10Cookies and analytics

When you first visit, a cookie banner asks for your choice. You can accept all, reject all, or choose categories:

  • Necessary — always on. Your cookie choice is saved in your browser’s local storage (not a cookie) so the banner does not reappear on every page.
  • Analytics — Google Analytics, loaded through Google Tag Manager. It sets Google Analytics cookies (named _ga and _ga_…) to recognise repeat visits. Nothing from Google Tag Manager or Google Analytics is loaded unless you allow this category.
  • Marketing — records your choice about advertising signals for Google services. No advertising or remarketing tags are currently used.

You can change or withdraw your choice at any time with Cookie settings at the bottom of every page. Withdrawing consent deletes the Google Analytics cookies from your browser and stops analytics from loading. The site uses Google Consent Mode to pass your choice to Google’s tags.

To display its typefaces, the site loads fonts from Google Fonts on every visit. Your browser connects to Google’s servers, which receive standard technical information such as your IP address and browser details. See Google’s privacy policy for how Google handles this information.

12Your privacy rights

Depending on the laws that apply to you, you may have the right to:

  • Be informed about how your personal information is processed.
  • Access the personal information I hold about you.
  • Correct inaccurate or incomplete information.
  • Request deletion or blocking of your information.
  • Object to, or withdraw consent for, certain processing (for analytics cookies, use Cookie settings at the bottom of any page).
  • Receive a copy of your information in a commonly used format.
  • Lodge a complaint with a data-protection authority — in the Philippines, the National Privacy Commission.

To make a request, use the contact form and select Privacy request as the service. Describe your request and include the email address you used when you contacted me. I may need to confirm your identity before acting on a request. Some information may be kept where the law requires it or where it is needed for a legitimate purpose, such as an ongoing engagement.

13Applicable laws

I handle personal information with reference to the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and, where they apply to you, other data-protection laws in your jurisdiction.

14Children’s privacy

This website is intended for professional and business contacts. It is not directed at children, and I do not knowingly collect personal information from anyone under 18. If you believe a child has sent me personal information, please contact me so that I can delete it.

15Changes to this policy

I may update this policy when the website or my practices change. The “Last updated” date at the top of this page shows when it was last revised.

16Contact

For questions about this policy or your personal information, please use the contact form and select Privacy request.
